Online booking helps when appointments have a predictable length and customers do not need a quote first. If every job needs diagnosis, use a short enquiry form and offer a booking link only after qualification.

For a business still putting its online setup together, follow the local service launch checklist. If the appointment leads to quoted work, keep the approval and payment connected through the quote-to-payment workflow.

Set it up

  1. Register with a business-owned email.
  2. Connect the calendar that must block busy times.
  3. Create one event type, not a catalogue.
  4. Set real working hours and the correct time zone.
  5. Add preparation and travel buffers.
  6. Limit how soon and how far ahead people can book.
  7. Write a cancellation and rescheduling rule.
  8. Add only the questions needed to prepare.
  9. Test the confirmation, calendar event, reminder, cancellation, and time-zone display.

Use a clear name such as “15-minute estimate call” or “60-minute consultation.” State whether the meeting is by phone, video, or at a location, and who initiates the call.

Add it to the site

Start with a normal button that opens the booking page. It loads reliably and is easy to test. Embed the calendar later if keeping the visitor on one page materially improves completion.

If the appointment requires payment, connect a supported payment provider only after a no-charge test booking works. Explain refund and cancellation treatment before the final booking action.

Check that the booking journey is accessible

Follow the website accessibility checks on the actual booking page and embed. Test keyboard access, visible focus, enlarged text, labels, errors, confirmation, and cancellation. Keep a monitored contact alternative while barriers are fixed. A supported template or clean scan is not a complete conformance assessment.

Canada and US details

The scheduling workflow is shared. The customer should see the time in their local zone, while your connected calendar stays authoritative.

Canadian businesses should use a privacy-policy link and collect only scheduling information. In Quebec, review the additional privacy-responsibility and consent guidance that applies to private organizations. US businesses should avoid putting sensitive health, financial, or identity information into a general-purpose booking questionnaire.

When to pay

The free route supports one person’s calendar and event types. Upgrade when two or more people need round-robin assignment, pooled availability, team administration, or a workflow whose automation has a measurable value.

Do not upgrade because you created too many event types. Simplify the menu first. A customer who cannot tell which meeting to choose is not helped by more scheduling software.
