The cheapest stack is not “sign up for every free app.” Each extra app creates another password, privacy decision, export, and place for customer information to drift out of date. Pick the smallest set that removes real work.

Invoices and bookkeeping: Wave

Wave’s free Starter plan covers the basic record and invoice workflow for many one-person businesses in both markets. Keep copies of receipts and reconcile regularly. Upgrade when automation or recurring billing saves measurable time.

Canadian businesses should configure the correct GST/HST registration status and tax labels. Quebec businesses that collect QST need the right registration and records; software does not decide the obligation for you. US businesses should configure the taxes they are actually required to collect. Do not turn on every state because a dropdown exists.

Wave Starter is a manual-entry product. Bank feeds, automatic categorization, receipt capture, additional users, and live support sit behind Pro or an add-on. It is a good starting ledger for a solo business, not a promise that it will suit payroll, inventory, a corporation’s controls, or every accountant’s workflow. Export the books before tax season and confirm that the accountant can use them.

Design: Canva Free

Use it for social images, simple flyers, and signs. Create one small brand sheet with your colours, fonts, logo files, and photo style outside Canva too. The upgrade is justified when shared brand controls or premium production features are used every week.

Scheduling: Cal.com

Use a free individual account for one person’s availability. Add buffers and realistic working hours before sharing the link. Upgrade when a team needs pooled calendars, assignment rules, or shared administration.

Email marketing: Brevo or Sender

Brevo’s daily send allowance suits frequent small sends. Sender’s larger monthly allowance suits a growing newsletter that sends less often. Do not build the list in both.

Use the newsletter guide to compare audience and sending limits, record permission, and test signup and unsubscribe. It separates Canadian CASL requirements from US CAN-SPAM rules and explains the cross-border limits.

Canada’s anti-spam rules apply to commercial electronic messages. Record consent, identify the sender, and provide a working unsubscribe route. Quebec privacy rules can add governance duties when customer information is collected. The CAN-SPAM Act requires accurate sender information, a physical postal address, and a working opt-out process for commercial email.

Upgrade only when a real list crosses the verified limit or automation produces revenue. Export subscribers and consent records regularly because free tiers shrink. A bigger plan will not fix a list nobody asked to join.

Customer tracking: HubSpot Free CRM

Use a CRM after leads are getting lost in a notebook or inbox. Define a tiny pipeline such as New, Contacted, Quoted, Won, and Lost. Export the contacts and deal records periodically.

First try the enquiry and follow-up workflow: one list, a next action, and a calendar reminder can be enough for an owner who handles their own replies. Pay for a CRM when shared ownership, conversation history, or reliable task notifications solve a demonstrated problem.

Photography: your own phone first

Real work, staff, vehicles, and finished projects usually outperform generic stock. Unsplash and Pexels are useful for supporting images, but read their current licences and do not imply that a recognizable person endorses your business.

Upgrade to a photographer when trust depends on seeing the real people, location, food, property, or workmanship.

Forms: Tally

Tally’s free allowance is unusually generous. Collect only what you need, send a confirmation, and test every notification. Use the free contact-form guide for the complete setup.

Analytics: Cloudflare first

Cloudflare Web Analytics answers the questions most brochure sites need without individual visitor profiles. Add Clarity temporarily only when diagnosing a page problem and after reviewing masking and privacy disclosures. The analytics guide explains the five metrics worth keeping.

If an AI assistant helps with everyday work

Start with public facts or fictional, carefully redacted examples. Keep customer lists, private correspondence, passwords, card details, health information, and confidential contracts out of a general chat. Review the exact account’s data retention, training-use, sharing, and connected-app controls; a paid label alone does not establish the protections you need.

Use the safe-AI working checklist, including its Canadian and US privacy sources. A person should verify facts and approve the draft before publication or sending. Do not let a drafting tool invent credentials, testimonials, prices, bookings, or refund promises. Pay for a different tool only after its verified controls and useful workflow justify it.

Data ownership check

For every tool:

  1. Register it with a business-owned email.
  2. Add a second owner where the plan allows it.
  3. Record the recovery method.
  4. Know how to export your data.
  5. Put the renewal or limit review on a quarterly calendar.

The free route is one tool per active job. The upgrade trigger is a documented limitation that costs more time or lost revenue than the paid plan, not a banner saying “professional.”
